On the evening of May 5th, members of the Mayfield Netball Club came together at the Mayfield Mex Club to share important updates and ongoing matters in the club. Below is a detailed overview of the key points discussed during the meeting.

Call to Order

The meeting was officially called to order at 7:00 PM, and the club thanks the attendance of our team representatives.

Court Lights

One pressing topic discussed was the need for follow-up communication with the Newcastle Netball Association (NNA) about the lighting on our training courts. Better lighting can significantly improve training efficiency and safety during evening sessions, allowing players to train effectively without risking injury.

It was decided that the Secretary of the club would follow up with NNA for more news on this.

Incident Reporting

A vital policy update was introduced to allow observers to submit incident reports. The policy prioritises a safe and supportive atmosphere for all players and participants. The rule about who can file an incident report has recently changed. Previously, only involved parties could file, but now observers can too.

The reporter, needs to file with with their club secretary, and the president, will address it with the alleged offenders club. If this doesn't resolve the matter, it can then be escalated to NNA for action.

Coaching

The clubs Coaching Convenor, Michael, encouraged coaches to download and use the Elevate App, which provides comprehensive training materials that can lead to enhanced player development. Furthermore, the club is partially subsidizing a Level 1 Foundation course for coaches, making it more accessible for at least 15 additional coaches to improve their knowledge and skills.

Socials and Technology

The club's social media engagement has been encouraging, with a significant increase in interactions, boosting community spirit, Rhiannon, our Social Media Manager encouraged members to engage with the content, by following, liking, sharing and commenting on posts. This will make the club more visible to all members of the community, but also make sure that the algorithms push important updates to the top of their feeds, so no-one misses out.

Policies regarding posting photos of children were highlighted, ensuring respect for privacy while celebrating achievements. It was advised by our Registrar, Bianca, that social media terms and conditions were presented at time of registration to every player and parent of a minor. If any parent or member would like their social media preferences changed, they can email us at info@mayfieldnetball.com.au

Umpiring

There was an important update on the organisation of umpires, revealing a noted shortage that could impact match operations. With the limited number of umpires available, in the club and NNA wide, teams are responsible for their umpiring duties, and the club will accept requests for umpires, but cannot guarantee that these requests can be filled.

Canteen Duty

Discussions on organising using team allocations for canteen duty could improve the success of these duties in the future. Volunteers who participated in these duties recently will receive 3 free raffle tickets in the upcoming Mothers Day Raffle.

Payment Link Issues

A concerning data protection issue with the Wix link for ticket sales was swiftly addressed during the meeting. The links were displaying the contact details of other users, where unneccesary and permission was not provided. Kelsey, the Secretary deactivated the links immediately, and issued new ones on the spot.

WhatsApp Notifications

A discussion was held regarding WhatsApp notifications, allowing members to mute them if desired. However, most members favored keeping notifications active for real-time updates, ensuring they remain informed about crucial club activities.

Socks Competition

Exciting suggestion on the horizon includes the announcement of a socks design competition. Rules are being drafted to encourage creativity and friendly competition.

1-1 Coaching

The idea of introducing an online form for one-on-one coaching sessions was presented. This resource focuses on specific drills tailored to individual players' needs, which could be a game changer for those looking to improve their skills.

Extra Training Sessions

Members discussed the flexibility needed for scheduling additional training sessions, especially after July. This adaptability will be crucial as we respond to the team's evolving needs throughout the season. It's important to recognize that even a single additional session per month can yield a substantial improvement in team cohesion and performance.

Round 6 Schedule

Kim is due to go on leave for up to 6 weeks from the 23rd of May. She will still operate from home, but won't be attending training or games during this time.

Looking Ahead

The meeting wrapped up at 8:21 PM, with a reminder that the next meeting will be on the 2nd of June next month.
